Bookings
A customer says there are no times available
Work down this list; it is almost always one of them.
Nobody can do that service. Settings → Who does what — a service with nobody ticked is offered to nobody.
The hours are empty that day. Both the branch's hours and that person's hours within them have to exist.
Shortest notice rules out the rest of today. If it is set to four hours, nothing after two o'clock is offered at eleven.
Something is blocking it. Buffers around an existing appointment, travel time for a home visit, or a busy block from a stylist's own Google Calendar.
Two customers got the same time
They did not. The database refuses two overlapping appointments for one person — one of those two was told to pick another time. If you are seeing two rows, they are with different stylists, or one is a blocked-out period rather than a booking.
A booking is stuck as pending
It is waiting for a deposit. Either the customer did not pay, in which case the time is released and the row is history, or the payment is still settling and it will confirm itself within a minute or two. More on deposits.
Signing in
The code never arrives
Check the number the salon has for you is the one you are typing, including that it is the WhatsApp number. If an email address is on your record the code goes there too, which is the more reliable of the two.
Ask the owner to set you a password instead — Settings → Team → Set password. Codes are a convenience, not the only way in.
It says I do not have access to this branch
Your membership is at a different outlet, or it was switched off. The owner fixes it in Settings → Team; there is nothing you can do from your side, and that is deliberate.
Money
Fonepay says INVALID USERNAME OR PASSWORD
That refusal comes from Fonepay, about your own account, before it has even looked at your merchant code. Ask them whether you have been given the separate API credentials for third-party dynamic QR, and whether that feature is switched on for your merchant code. The QR appeared but the bill still says unpaid
Nothing on that screen decides a payment succeeded — we ask the gateway. If the money left the customer's account, it will reach the bill: a sweeper checks unfinished payments every minute and settles them, including after everyone has gone home. If it has not landed in ten minutes, take the money another way and refund the QR one if it eventually arrives.
A discount code will not apply
The till says which rule refused it: expired, used up, already used by this customer, below the minimum spend, or not applicable to anything on this bill. A code limited per customer also needs a phone number on the bill — add one with Add customer.
The Raise tax invoice button is not there
There is no PAN on file, so no valid tax invoice can be raised. Add it under Settings → Bills and tax. Until then the bill is the document, and for most businesses here it always will be.
Photographs and the page
Uploading a photograph fails
If it fails for every image, it is the server rather than the file and we need to know — ring us. If it fails for one image, it is usually enormous: anything over about 5 MB is worth shrinking first, and looks no better on a phone.
My link shows the wrong outlet
The plain address leads with one outlet and offers the others at the top. Print the outlet's own address — your name, then the outlet's — if you want it to land there directly.
Asked often
A customer says no times are showing. Why?
Almost always one of four things: nobody is ticked for that service under Who does what, the day has no working hours, the shortest-notice setting rules out everything left today, or the stylist's own calendar is marked busy.
Can I edit a bill after it has been settled?
No — by anybody, ever. Refund the payment and ring the visit up again; both stay in the books, which is what makes a settled bill a record.
Do I need a PAN to use the till?
No. Without one the till prints a bill, which is the document most businesses in Nepal issue. A PAN adds numbered tax invoices on top.
Does the customer need an app or an account?
Neither. They pick a service, a person and a time, leave a name and a phone number, and they are booked.
Do you take a percentage of what my customers pay me?
No. Your Fonepay or Khalti account is your own and the money never passes through us.
